A qualified inquiry is not a guaranteed customer. It is a prospect that meets the intake criteria your operation has agreed to use. You still assess the facility, confirm the scope, price the work, and decide whether to take the account.

Start with the facilities you serve, the geography your crews can cover, exclusions, and capacity. Qualification should reflect those operating limits rather than booking every caller or replacing a site assessment with an automated quote.

Collect details your estimator can use.

The intake questions are agreed during setup. A commercial cleaning workflow can cover:

  • Property and service area: facility type, location, and whether the site is within your coverage.
  • Scope: the requested service, available size or usage details, and whether the need is recurring or a one-time job.
  • Timing: the desired start, relevant deadlines, and the prospect’s availability for a walkthrough.
  • People and access: the appropriate contact, attendees, access instructions, and details that require confirmation.
  • Exceptions: unsupported work, unclear requirements, or requests that need your team’s judgment.

These are example intake categories, not a promise that every caller will supply every answer. Missing or uncertain details should remain visible in the handoff.
